Data Protection Policy

Effective date: 06 July 2018

Your personal data

Goldenwest Editing (GWE) may collect and store personal data so that we can communicate with you, including name, affiliation, address, telephone number, and email address.

Since GWE often works with clients more than once, we will keep the contact details after we’ve worked with you. If at any time you want us to delete any of this data, please advise.

Agreement to work together

Proposed terms of GWE’s contract are set forth by email, based on the information provided by you. The contents of the email or formal contract will include editorial services needed, timeline for project, and a quoted price for the project. Adjustments can be made to the agreement until both parties have accepted the terms of agreement.

Safety of your work

All files are stored on a password-protected PC and backed up to a password-protected external drive. We also will use password-protected cloud storage and file-sharing applications like Dropbox and Google Docs to enable easy sharing of files between GWE and the specific client.

All original files shared with GWE remain the property of the client. Any versions of these files that GWE has modified under the scope of the agreement to work (rewrites, editing, formatting) remain the property of GWE until the agreed-upon payment has been made, at which time, ownership reverts to client. Edited versions of the files may be shared with you in the event there are queries that need to be answered but in no way does that constitute release of property until final payment is made. These files will never be shared with anyone else unless directed to do so by the client.

Any relevant written communication related to the agreement to work and the completed project(s) are stored on the same PC. Such information is kept in the event we will work together again. If, after a reasonable amount of time, for those clients that GWE no longer works with, projects and all relevant communications are eventually deleted.

For those contacts where we elect not to proceed, all relevant files from any discussions are deleted after a reasonable amount of time.

Invoicing

When paying for a service, for tax purposes, GWE will send you an invoice, which includes your name and address/email address. We are required to maintain the invoicing records for up to seven (7) years, as per IRS requirements.

Marketing

GWE maintains a list of possible future clients that is used for the sole purpose of contacting for potential work. This information is not available outside GWE and will never be shared or sold.
